04 · Funnels & marketing automation

You don't have a traffic problem.
You have a follow-up problem.

Before you buy another lead, work out what happens to the ones you already get. In most businesses the answer is: a reply hours later, one attempt, then nothing.

The audit includes a timed test of your own enquiry flow

Your first reply

Under 5 minutes Best case Still on your website or in the chat
Within 30 minutes Odds of qualifying fall sharply Moved on, but still remembers enquiring
Within 4 hours You are now the third quote Has messaged two competitors
Next working day Effectively a cold lead Has usually decided

Automation makes the first line of this table the default.

Fixing this is cheaper than buying more traffic.

A follow-up fix works on the enquiries arriving today, costs no extra media budget, and shows up in weeks rather than quarters. Buying more traffic into a leaking funnel just increases the number of leads you lose — at a price per lead.

Automatic, at any hour, so the lead is still holding the phone when you land

One inbox

Every channel

Form, WhatsApp, Instagram, calls and Google — in one pipeline, not five apps

Booked

Not chased

Calendar, confirmations and reminders that cut no-shows without anyone dialling

Nothing

Forgotten

Sequences run whether or not anyone remembers to run them

The leak

Where a thousand people become five customers.

Every stage below loses people. Some of that is unavoidable. The rest is a decision nobody made on purpose — and each one has a fix that costs less than replacing the traffic it wastes.

  1. 01 1,000 people reach you Ads, search, social, referrals
−880 lost No clear reason to act, or a page that did not argue for it Offer and landing page rebuilt around one decision
  2. 02 120 make contact Form, WhatsApp, DM or call
−76 lost Reply came hours later. They had already messaged a competitor Instant auto-reply, then a human inside the hour
  3. 03 44 are still warm when you reply The conversation actually starts
−22 lost One follow-up, then silence. Most sales need three Scheduled nurture sequence across WhatsApp and email
  4. 04 22 book something Call, visit or consultation
−8 lost Forgot, or nothing reminded them Confirmation plus two reminders, automatically
  5. 05 14 show up You finally get to sell
−9 lost Quoted, then never contacted again Quote follow-up and reactivation on a timer
  6. 06 5 become customers From a thousand. Every stage above was a choice

Illustrative figures at rates we see regularly, not a promise about your business. In the audit we run this with your real numbers — and the exercise is uncomfortable, because the biggest leak is almost never the one people expect.

What we build

The system that plugs each one.

You rarely need all of it at once. We build the pieces that close your biggest leak first, then the next.

One pipeline

Every enquiry from every channel lands in a single CRM with stages you can actually see — new, contacted, quoted, won, lost.

Instant auto-reply

An acknowledgement in under a minute that holds the conversation open with one question, on WhatsApp, SMS or email.

Booking & reminders

A calendar the lead can book into themselves, with confirmations and reminders that cut no-shows.

Nurture sequences

Two to four scheduled touches over the following week for anyone who goes quiet, then a clean stop.

Lead qualification

Questions asked automatically before a human spends time, so your day goes to buyers rather than browsers.

Reactivation

Old enquiries and quoted-not-closed contacts worked again on a schedule. Usually the cheapest revenue in the business.

Review generation

A request that goes out at the right moment after a good outcome, building the public proof that lowers your ad costs.

Reporting

Where leads come from, where they stall, and what each stage costs — so the next fix is chosen on evidence.

A real sequence

Written on paper before it goes into software.

This is our own six-stage WhatsApp follow-up playbook — the exact messages, the goal of each stage, and the reasoning underneath. Every automation we build starts as a document like this, because a sequence nobody can read is a sequence nobody can fix.

  • Stage 0 fires automatically and qualifies before a human arrives
  • Stage 1 is timed — under five minutes, by design
  • Value is delivered before anything is sold
  • The close is to a call, not to a purchase

How we work

We enquire with your business first.

Step one is not a workshop. It is submitting a real enquiry and timing what happens — which is usually the most uncomfortable slide in the audit, and the most useful.

  1. 01

    Map what happens now

We submit a real enquiry to your business and time the reply. Then we trace every channel a lead can arrive through and where each one lands.

  2. 02

    Find the biggest leak

One stage is always costing more than the others. We name it with a number rather than fixing everything at once.

  3. 03

    Design the flow

Written on paper first — what gets sent, when, what triggers a human. The software is only where the paper lives.

  4. 04

    Build it

CRM, pipeline stages, auto-replies, booking, sequences and qualification, wired to the channels you actually use.

  5. 05

    Test with real leads

We run enquiries through it ourselves before it touches a customer. Every message, timer and handoff verified.

  6. 06

    Measure and tighten

Reply times, stage conversion and no-show rate tracked monthly, with the sequence adjusted to what the data shows.

On tools

We are not reselling you software.

Plenty of agencies have one platform they are certified in, so that is the answer to every question. We pick the CRM, the automation layer and the messaging channel to fit your business — how you sell, how many leads you get, whether WhatsApp matters, what your team will realistically use.

Where nothing off the shelf fits, we build custom. Our own client, job and dispatch system is software we wrote because the available tools did not do the job — which is also why we are comfortable saying when an existing tool is good enough for you.

Questions

Funnels and automation, answered.

01 What is marketing automation?

Marketing automation is software that handles the repetitive parts of following up a lead — the instant acknowledgement, the reminder, the second and third touch, the review request — so they happen every time instead of only when someone remembers. Combined with a CRM it means no enquiry is lost, and the speed of your first reply stops depending on who is free.

02 Why does reply speed matter so much?

Because a person who enquires with you has usually enquired with two or three others at the same time. Whoever answers first gets the conversation, and the conversation is most of the sale. Published research on lead response consistently finds that the odds of qualifying a lead collapse within the first hour — which is why the first reply is automated and the human follows behind it.

03 Do I need a CRM if I only get a few leads a month?

If your enquiries are low volume but high value — interiors, clinics, education, professional services — a CRM matters more, not less, because losing one is expensive. What you do not need is enterprise software. A simple pipeline with five stages and automatic follow-up covers almost every small business properly.

04 Which CRM or automation platform do you use?

Whichever fits the business, rather than whichever we resell. The decision is driven by your channels, your team size, your budget and whether you need WhatsApp as a first-class channel. Where an off-the-shelf tool genuinely does not fit, we build custom — we run our own client and job system that way.

05 Will this make my business feel robotic?

The automation exists to hold the door open, not to have the conversation. The instant reply is a short acknowledgement plus one question; a human takes over from there. Buyers can tell within two messages that they are talking to a script, and for anything considered that is worse than a slightly slower human reply.

06 Can you connect this to WhatsApp?

Yes, and in India it is usually the most important channel. Most buyers will message but never fill a form. We wire click-to-chat, automatic first replies, qualification questions and lead routing so WhatsApp conversations land in the same pipeline as everything else instead of living on someone's personal phone.

07 How long does a build take?

A starter setup — pipeline, auto-reply, booking and one nurture sequence — is typically two to three weeks. A fuller system with qualification, reactivation, review generation and reporting runs four to six weeks. The timeline usually depends on how quickly we get access and content approvals from your side.

08 What if I already have a CRM nobody uses?

That is the most common situation we walk into, and it is usually a process problem rather than a software one. We work out what the team was actually asked to do, simplify the stages until the pipeline reflects how you really sell, and automate the parts nobody was ever going to do by hand.
